Management Services

Over 99% of the units we manage are third party owned in which M&M has no ownership affiliation.

All building information is compiled using "Yardi Property Management Software." Detailed monthly reports and year end summary are generated for owners and accountants.

We are involved in all phases of building operation and are especially active in the oversight of remodeling and project upgrades.

  Rental Property Management  

Daily Service
We do our best to respond quickly and make decisions that are in the best interest of owners and tenants.

Emergencies, repairs, or improvements are handled by the janitorial first, then professional contractors. We have established good working relationships with many local professionals.

Property conditions are continually reviewed using our own on site evaluations plus local and state building inspections.

Showings
Showings are done directly from the main office staff or by on-site managers. Occasionally a showing will be through The Oak Park Housing Center. Direct interface with a potential tenant is very important. This is where we begin our tenant history evaluation. A good tenant profile can reduce many possible future problems.

Security Deposits
Our standard is one and one half the monthly rent.

Rent
Rents are due on the first of each month with a five day grace period. The penalty is $25 after the 5th, then $5 per day thereafter.

Leases
Leases are typically made out for one year with lease ending dates staggered from March 31st through July 31st. We use our own lease form for residential and the Cole lease form for commercial. Also included is a separate lease rider explaining responsibilities of the security deposit in detail.

Reports
Computer generated reports consist of all income, expenses, occupancy, vacancy, rent roll, etc. in detail. Reports are generated monthly. "Yardi Property Management for Windows" is the software of choice.

  Community Association Management  

The following outlines our community association management approach.
Our primary responsibility is to implement the decisions of the association board.

Management services would include:

  1. Receiving calls from a designated officer of the board and implementing decisions which they have made on behalf of the association. You can be assured of a quick response time. The office is also set up with voice mail including emergency procedures, which access M&M by pager, and/or cell phones.
  2. Establishing a new checking account for the property or taking over the oversight of an existing account. Establishing a reserve account. Submitting a recommended budget to the condo board annually.
  3. Receiving & oversight of assessments. Response to late payers and implementing legal remedies if necessary.
  4. Paying all association bills.
  5. Overseeing janitorial and all additional common area building services. ( Quality janitorial is very important and would be a separate service from a third party )
  6. Making recommendations for upgrades and remodeling.
  7. Oversight of routine and city inspections.
  8. Facilitating communication from the board to association members.
  9. Being an educational resource to the condo association board.
  10. Computer reports issued monthly by the 15th of the following month. Year-end totals reports and help with budgeting for the upcoming year. (We use Yardi Property Management Software, the best in the industry, and set up for both rental and condo situations.)
